If you have been given access in the Pantano Online Community to schedule rooms for your life group or ministry on the East Tucson Campus, this guide provides all the necessary considerations and procedures for your reference. SCHEDULING CONSIDERATIONS
- To reserve a room on the PCC campus, you should enter your request a minimum of 14 days before the event/class. If you have a request that must be entered less than 14 days before the event, please follow the guidelines in outlined below in numbers 2-4 below.
- The “Facility Use Report” (from which rooms are set) is printed on Thursday afternoons for events/classes for the following 10 days.
- To be included in this report, your event/class must be entered by 12:00pm on Thursday.
- If you add or edit your event/class after that time, you must submit an Event Change Notification Form to notify the Facilities Team as soon as possible. Please note: you must still enter your event and reserve rooms/equipment in the Online Community (CCB) to ensure availability.
- Cancellations must be made 24 hours before the day of the event/class. Failure to cancel your event/class causes undue work on the facilities staff, and may result in your inability to schedule future events/classes.
- Events/classes that occur between 8:00am and 12:30pm on Sundays and after 5pm on Wednesdays must approved by the Pastor of Life Development.
- Certain parts of the campus are unavailable at certain times to allow for preparation and cleaning around weekend services. On Sundays, the Auditorium, Coop Court and Volleyball Court are blocked from use until 3:00pm; Towne Hall is not available for use on Sundays.
- Three times per year, the campus is closed for all events/classes; this includes the last (3) weeks of the year, the week before Easter and the week before Leadership Summit (in August). Upcoming dates during which the campus is closed are August 6-10, 2012 & December 17, 2012 – January 1, 2013.
- Generally, the calendar is open to schedule events one year in advance. Currently, events may be scheduled through December 2012.
